What it does

Everything ChapelHQ does.

The home page covers the two churches start with: the rota and the children’s desk. This is the complete list, with each capability stated plainly.

Serving rotas

  • Build a rota across teams for a run of Sundays.
  • Next month starts from last month.
  • Auto-fill suggests people and respects declared unavailability.
  • Publish once; everyone gets their own dates and confirms or declines from their phone.
  • Gaps are flagged and counted.

Children & check-in

  • A child record with guardians, and that list is the authorised pickup list — being on it is the authorisation, and nobody else can be chosen at collection.
  • Allergies and medical notes.
  • Check-in by room, with a printed tag torn in two — allergy in red, one six-digit pickup code on both halves.
  • Collection verified against the code and the list. A release to someone not on the list is allowed, and recorded.
  • A register of who was in which room, on any date. Every action logged.

People

  • One directory of everyone the church knows, whether or not they log in.
  • Households, so a family is one record group and not four unrelated ones.
  • Tags, notes attributed to whoever wrote them, and a status label — newcomer, member, leader, staff.
  • The status label is a label. It changes nothing about what anyone can do.
  • Import from Excel or CSV. A single “Name” column is enough; families group into households from a Family column, and rows already in the directory are flagged rather than duplicated.
  • Every import is previewed row by row before it saves, and one button undoes the whole batch afterwards.
  • Search. Archive without deleting. CSV export throughout.

Attendance

  • Record attendance for a service or a group meeting.
  • Per service, so a church running two services keeps them separate.
  • Group leaders take their own group’s attendance and see nothing else.
  • Trends over time, and CSV export.

Groups

  • Small groups, courses and ministry teams.
  • Members request to join; the office approves.
  • A group leader takes their own group’s register and sees nothing outside it. Adding and removing members is the office’s job.

Events & sign-ups

  • Publish an event and open sign-ups.
  • Guest numbers — one member, plus two.
  • Capacity, and a waitlist when it fills.
  • Members see what they’ve signed up for in the portal.

Rooms & equipment

  • Members request a room or a piece of equipment; the office approves or declines.
  • Double-bookings are refused before they happen, not detected afterwards.

Forms

  • A connect card, a sign-up form or a survey.
  • One link to share.
  • Responses read in the office, exported to CSV.

Giving records

  • Record gifts by fund and method, and print a member’s giving statement on church letterhead.
  • Bulk import of giving records from Excel. Members see their own giving in the portal.
  • Visible to church administrators only — staff cannot see finances, and that is enforced in the code, not by hiding a menu.
  • Not a payment system. ChapelHQ takes no money. No cards, no FPX, no DuitNow integration, no donation page. It is a record of gifts your church received elsewhere.

Reports

  • Attendance trends, giving summaries, people counts.
  • CSV export throughout.
  • Exports of the people directory and the giving ledger are written to an export log — who exported what, and when.

Roles

  • Six roles, enforced in the code: church admin, staff, group leader, team coordinator, member, plus an internal platform role.
  • Money is admin-only. Children’s medical detail is separate from running the kids desk. Handing out access is admin-only.

Notifications

  • Email for rota assignments, a reminder five days before the Sunday, event sign-up confirmations and waitlist offers.
  • A new form response emails whoever owns the form, and the notification inbox set on it.
  • Push notifications, including on iPhone once the portal is on the home screen.
  • Replies go to your church’s own contact address, not to us.
  • Limit: a giving statement is printed in the office or downloaded by the member. It is not emailed out.

Signing in

  • Passwordless. A link by email. Nothing to forget or reuse.
  • Invite-only — nobody signs themselves up; the office adds them.
  • The member portal installs to a phone home screen.
